We have created “busy” as a badge of honor in the dental office. Busy means job security.
No matter how hard we work, it often feels like we’re stuck in a cycle of "too much to do, not enough time to do it." Sound familiar? You're not alone—and it's exactly why I’m always keeping an eye out for new ways that AI can help us work smarter, not harder.
Recently, I’ve been testing the latest tools that can automate everyday tasks, streamline communication, and take some of the mental load off our plates.
Things like:
Drafting patient emails in seconds
Organizing tasks faster with AI scheduling
Generating quick replies or documents without starting from scratch
These small shifts can add up to real hours back in your day.
But here's the important part: Even with the best new resources and shortcuts, we also have to get our teams on board.
It’s easy for offices to stay stuck in a culture of feeling overwhelmed—where “busy” is the norm and there’s never “enough time.”
AI can absolutely help us be more productive...however we need to reframe how we think about time as a team.

Here's How to Set Up a Task 👇
Did you know that ChatGPT can help you with tasks? If you’re only using ChatGPT to brainstorm ideas, you’re missing out!
Here’s how to set it up to actually help you get tasks done—like writing posts, emails, captions, and more:
1️⃣ Be Clear About the TaskBefore you even open ChatGPT, pause and think through the assignment: 👉 What exactly do I want AI to help me with? Examples: The more specific you are about the task, the better the results you’ll get—and the faster you'll get them. | 2️⃣ Start with a Strong PromptWhen you’re ready to start, give ChatGPT detailed, structured instructions to work with. Include: Example Prompt: A strong prompt means less editing later— more time saved for your team. |
3️⃣ Adjust and RefineThink of ChatGPT as a collaborator, not a one-and-done tool.
The goal: Fine-tune the draft until it feels like it was written by you, for your audience. | 4️⃣ Save & Organize ResultsOnce you have a version you like, take the extra step to organize it so you can use it when you need it: ✅ Copy and paste final draft into your notes app, Google Docs, or your project management tool.

Create a folder titled “AI Drafts” inside your content system so you always have a library of ready-to-go posts, emails, and scripts when you need a head start.
💬 Changing the Culture of “Busy” in Dentistry

But here’s the truth we need to face: being busy is not the same as being valuable.
And with the rise of AI and smarter systems, we have a real opportunity (and responsibility) to help our teams shift this mindset.
🛠️ How to Start the Conversation With Your Team
1. Normalize Efficiency, Not Busyness
Make it clear that using AI or automating tasks isn’t about "working harder" or "cutting jobs."
It’s about working smarter—so we have more time for the things that matter, like patient care and meaningful human connection.

“If we can use AI to help us get paperwork done faster, it means more energy for our patients—and for ourselves.”
2. Redefine What Success Looks Like
Success isn’t about who has the longest to-do list.
It’s about:
✅ Getting tasks done thoroughly and efficiently
✅ Being able to slow down and listen to patients
✅ Going home on time, feeling accomplished—not drained

“Imagine a day where you finish all your work, you get to take a full lunch break, and you leave on time without guilt. That’s what success can look like.”
3. Reassure the Team About Their Value
One fear that comes with technology is: "If everything gets faster, am I still needed?"
The answer is: YES—more than ever.
Technology will never replace the human empathy, critical thinking, and relationship-building that makes dentistry truly personal.

4. Set the Vision Together
Involve your team in building the new workflow. Let them share ideas about what they could do with more time. Make it a team win, not just a leadership directive.

“What’s something you’d love to have more time for if we could take a few repetitive tasks off your plate?”

As we move into this new era, time is no longer the enemy.
It’s an asset we get to protect, use wisely, and celebrate.
