Brush Up on AI - Let AI Be Your Writing Assistant
....your go-to spot for practical tips, fresh ideas, and must-know updates on how AI is transforming the dental world (and beyond).
📝 From Laura’s Desk
If you’ve ever worked at the front desk in a dental office, you know it’s real. Multitasking is the name of the game: phones ringing, patients checking in, insurance questions flying, and let’s not forget—being nice through it all. 😅 | ![]() | The truth is, we wear so many hats that sometimes we don’t have the time—or the energy—to give each task our full attention. And one area where that can really show up? Writing. |
Whether it’s a quick email to a patient, a note to follow up on treatment, or a tricky message about scheduling, the way we communicate matters. But what if writing isn’t your strength? Or you’re in a rush and it comes out a little… off?
That’s where AI can truly help. Tools like ChatGPT can assist with writing clear, professional, and warm emails that sound like you—just a little more polished. You can tell it what you want to say, and it helps you say it better.
💬 Need to soften a message?
📧 Rework a response to sound more empathetic?
📝 Turn a rough note into a clear patient-friendly explanation?
AI can be the extra set of eyes (and words) you didn’t know you needed.
It’s not just about being faster—it’s about being better communicators, even when we’re juggling it all.
Let’s stop feeling like we have to do everything perfectly on our own. Let’s use smart tools that help us look good, sound great, and serve our patients with clarity and care.

We all have days where writing that perfect email or patient message feels like climbing a mountain in scrubs. Whether you're short on time, unsure how to word something, or just want it to sound a little more polished—AI can help.
🧠 Here’s How to Start: Use Clear Prompts
You don’t need to overthink it. Just tell the AI what you’re trying to say, who it’s for, and how you want it to sound.

💡 Pro Tip:
If you’re not happy with the first result, don’t start over—just ask the AI to revise it.
Try prompts like:
👉 “Make it shorter.”
👉 “Add more empathy.”
👉 “Use simpler language a patient would understand.”
👉 “Make it sound more confident.”
Think of AI like a helpful co-worker who doesn’t mind a few rounds of edits—you’re allowed to go back and forth until it feels just right.
🛠️ Tip of the Week: Write Better Emails with AI
Need to send a tricky email to a patient—like following up on no-shows or late cancellations—but not sure how to word it just right?
AI can help you find the tone that’s firm and professional without sounding harsh. One team recently used the built-in AI writing assistant in Gmail to revise their message. With a quick tap on “Formalize” or “Elaborate,” they went from stuck to send-ready in seconds.
✅ Tools to try:
Gmail Smart Compose & AI Assist
Outlook + Microsoft Copilot
ChatGPT (Paste in your message and ask for tone help)
GrammarlyGO or Perplexity

Type what you want to say in the email and then let it do it’s magic

Within email you have options to help write it or rewrite it or take it to ChapGPT. Copy and paste it in ChatGPT and ask it to make it sound more polite, more firm, clearer etc….
⚠️ Reminder:
Don’t include patient names or sensitive info—just use placeholders like [Patient Name] or [Date] unless your platform is HIPAA-compliant.
💡Try it this week on one email and see how much easier it gets!
